Scope of practiceFor organizations

Six areas of work,
one standard of care.

Every engagement is scoped in writing: what we will review, who we will speak with, what we will deliver, and when. This is consulting work for organizations that need their administrative management in order — not a package to select from.

01

Administrative process review

Consulting engagement

Administration rarely fails loudly. It slows down: a form nobody owns, an approval that waits on one person, a file that exists in three places. We map the administrative processes as they are performed rather than as they are described, identify where work waits or doubles back, and put forward a documented set of improvements the organization can adopt at its own pace.

Typically includes

  • Process mapping and walkthrough notes
  • Delays, duplication, and gaps identified
  • Prioritized improvement list
  • Implementation sequencing guidance
  • Written findings and recommendations
02

Office and back-office operations

Consulting engagement

Front office, records, purchasing, billing support, scheduling, and vendor coordination are the functions no department owns outright. We review how the back office is staffed, organized, and measured; where responsibilities overlap or fall between roles; and what the organization should reasonably expect from the function at its present size.

Typically includes

  • Back-office organization and role clarity
  • Coverage and workload review
  • Vendor and service coordination
  • Simple, honest performance measures
  • Operating recommendations in writing
03

Records and document management

Consulting engagement

Records become a liability when nobody can say which copy is current or who is allowed to hold it. We review what the organization keeps, how documents are named and stored, who has access, and what should be retained or destroyed. The result is a written records framework staff can follow without a specialist in the room.

Typically includes

  • Inventory of records and where they live
  • Naming, filing, and version conventions
  • Access and retention practices
  • Digitization and storage recommendations
  • Written records policy outline
04

Workflow and procedure development

Consulting engagement

Every organization has procedures; most of them live in someone’s head. We work with the people who do the task to document it as a clear, plain-language procedure — the steps, the owner of each step, the records it produces, and what to do when something goes wrong — in a format that survives staff turnover.

Typically includes

  • Procedure drafting for recurring tasks
  • Roles, steps, and handoffs defined
  • Checklists and working templates
  • Onboarding-ready documentation
  • Periodic review guidance
05

Operational planning and advisory

Consulting engagement

Small and mid-size organizations often carry more commitments than their administrative capacity can support. We help leadership set the operating priorities for a period, test them against the staff and systems actually available, and identify what should be deferred or resourced differently. The output is a usable operating plan rather than a document that sits unread.

Typically includes

  • Operating priorities for the period
  • Capacity and staffing assessment
  • Sequencing and dependencies
  • Measurement and review cadence
  • Written plan for leadership
06

General management consulting

Consulting engagement

Some engagements are a single question: whether to bring a function in house, how to structure a growing office, what to do about a role that is not working. We take those on directly — reviewing the facts, laying out the realistic options, and giving leadership a written recommendation with the reasoning visible next to it.

Typically includes

  • Defined question and scope in writing
  • Options analysis with trade-offs
  • Organizational and staffing structure
  • Implementation guidance
  • Written recommendation
Engagement shapesEither, or both

The same work, in two shapes.

Engagements at IBC Properties LLC take one of two shapes. Some are a defined project with a scope and an end date; others are an ongoing relationship in which the firm carries administrative or general management work on a continuing basis. An organization can begin with the first and keep the second.

IDefined scope, defined finish

A defined project

A question answered, or a function put in order, with an end date.

Some organizations need one thing seen to and documented: a review of how the administrative work actually moves, a records framework, a set of written procedures for a function that has outgrown its informal habits. The scope is agreed in writing before the work begins — what will be reviewed, who will be spoken with, what will be delivered — and the engagement concludes when the written findings are issued. The document stays with the organization, and the work carries forward from there.

  • Scope and finish agreed in writing
  • A named written deliverable
  • Findings the organization keeps and can act on
  • Concludes when the deliverable is issued
IICarried on, not handed over

An ongoing relationship

Administrative or general management work carried on, not documented once.

Other organizations need the work carried rather than handed over: procedures kept current as the business changes, records maintained, and an outside view on the management questions that come up between projects. Here the firm stays engaged on a continuing basis, returning to the same functions on a cycle and taking up new questions as they arise. The arrangement is reviewed periodically, so it continues only while it is earning its place.

  • A continuing arrangement rather than a one-off
  • The same functions reviewed on a cycle
  • Direct access on general management questions
  • New questions taken up as they arise

Which shape fits is settled in the first conversation, not assumed beforehand. If the situation calls for both, the project is scoped on its own terms and the continuing arrangement is reviewed separately.

What the work is not

We are an independent consulting practice. IBC Properties LLC does not sell software, does not provide staffing or outsourced office services, and does not accept compensation contingent on a client adopting a particular vendor or system.

We do not perform legal, tax, accounting, or audit work. Where an engagement touches on one of those areas, we coordinate with the licensed professional already advising the organization and keep their conclusions in the record alongside our own.

Not sure which of these fits your situation?

Describe the organization and where the administrative work is slowing down. We will tell you plainly whether it is work we do.
